Admin Assistant / PA

Part-Time, Term Time Only, 8am-12pm, 5 days a week, will consider up to 30hrs per week. However, the core hours of 8–12 Monday to Friday are a requirement.

The Role
We are seeking a highly organised, efficient, and computer-literate Admin Assistant / Personal Assistant to provide vital administrative support with a particular focus on SEN and SLT administration. This role will be pivotal in supporting the smooth running of SEN processes and assisting school leadership with confidential and sensitive information management.

We would be particularly interested in hearing from candidates who are experienced in improving the efficiency of administrative tasks. 

Key Responsibilities

  • Provide comprehensive administrative support, including managing SEN records and documentation, newsletters with confidentiality and accuracy.
  • Support the SEN team with data entry, monitoring, and reporting using school computer systems, specifically Arbor.
  • Manage the Headteacher’s diary and correspondence as required.
  • Assist with general school administration tasks such as updating records, managing the school calendar, and handling communications.
  • Act as first point of contact for SEN-related enquiries, liaising with parents, staff, and external agencies.
  • Coordinate and schedule visits and meetings of external agencies and professionals.
  • Support the organisation of meetings, training, and events related to SEN provision.
  • Provide administrative assistance to the therapy team, including sharing and recording of targets and resources.
  • Assist in the organisation of SEN-based resources and information packs.
  • Communication and follow through with diarising meetings, teaching communication and sharing of resources.
  • Ordering of SEND resources.
  • Minute taking of SEND meetings, including EHCP annual reviews when required.
  • Assist in the updating of SEND materials and information on the school website.
  • Maintain high standards of data protection and confidentiality in line with school policies.
  • Monitor and report to the SEN team on IEP intervention reviews and updates.
  • Any other responsibilities as deemed appropriate by the Head Teacher

Person Specification

  • Excellent computer literacy, including proficiency with MS Office and Arbor school management system.
  • Strong organisational skills with the ability to manage multiple priorities efficiently.
  • Experience or understanding of SEN administration preferred.
  • Excellent communication skills, both written and verbal with a range of stakeholders and external agencies.
  • Ability to work independently and use initiative.
  • Commitment to supporting the school’s vision and values, particularly in promoting inclusion and equality.
  • Previous experience in a school or educational setting is desirable but not essential.

Working Hours
Monday to Friday, 8:00 am to 12:00 pm (Term Time Only), consideration will be given to candidates who are looking for up to 30 hours. However, the core Monday to Friday, 8:00 am to 12:00 pm is a requirement of the role.
